Division Objectives
Ensure that academic management is carried out efficiently, accurately, and effectively based on UIS Academic Regulations and other applicable regulations that align with the University's vision, mission and direction.
Division Functions
STUDENT ACADEMIC MANAGEMENT SECTION
General Functions
-
Formulate and update UIS academic policies, regulations and rules.

Implement, enforce and update the University's Academic Regulations.
-
Manage student academic affairs according to University Academic Regulations.
-
Manage registration, confirmation, suspension, transfer and termination processes, as well as regulate student data, information and records throughout their studies at UIS.
-
Manage and coordinate the lecture, tutorial, laboratory scheduling process at the beginning of each semester.
Specific Functions
-
Preparation of the Academic Calendar.

Organise academic coordination workshops.
-
Manage student course registration for each semester.
-
Manage the processes of adding and removing student courses.
-
Manage the student verification process and review of student status.
-
Manage and maintain student data, information, records and personal files.
-
Manage applications for study programme changes, semester changes, study deferrals, study discontinuations, and student appeals.
-
Provide reports related to student information to the Ministry of Higher Education (KPT), Malaysian Qualifications Agency (MQA), MyRA, eIPTS, SETARA and other related agencies.

Monitor the drafting of lecture schedules.
EXAMINATION & CERTIFICATION SECTION
General Functions
-
Establish policies and procedures for University student examinations and graduation.
-
Manage examinations, credit transfers, exemptions, graduation, and certification processes for University students.
Specific Functions for Examinations
-
Confirm the list of courses registered for examinations.
-
Prepare materials and information for end-of-semester examinations.
-
Prepare timetables, confirm locations, and allocate seating for end-of-semester examinations.
-
Issue of examination slips / permits.
-
Handle the printing of end-of-semester examination question papers upon faculty / centre confirmation for face-to-face examinations.

Appoint the Chief Invigilators, Invigilators, and Assistant Invigilators for final semester face-to-face examinations.
-
Conduct end-of-semester examinations according to the Academic Calendar.
-
Manage processes for exam deferrals,, reexaminations, special reexaminations, and substitute examinations.
-
Process, coordinate and issue end-of-semester examination results.
-
Coordinate with faculties / centres to confirm end-of-semester examination results.
-
Issue result slips for end-of-semester, repeat, special repeat, and substitute examinations.
-
Manage the review of course evaluation results.
-
Handle student appeals for those with a CGPA below the passing level.
-
Coordinate examination results reports for confirmation by the Faculty / Centre Examination and Graduation Committee.

Prepare examination results reports for verification by the Academic Development and Management Committee and approval by the University Senate Meeting.

Update the examination guidelines book and UIS-format final examination question paper template (2020 amendment).
-
Manage the Academic Development and Management Committee Meeting.
-
Membership of Student Disciplinary Proceedings involving examination misconduct.
-
Manage the process of course credit transfers and exemptions.
-
Issue the Dean’s list and Dean’s Award certificates.
Specific Functions of Graduation
-
Process the study status of students who have completed their programmes.

Coordinate completed student reports for verification by the Examination and Graduation Committee and the Faculty Meeting.

Prepare graduation documentation for certification and confirmation of students’ eligibility to be warded a Diploma / Degree by the Senate.

Prepare, print and distribute Graduation Letters, Partial Academic Transcripts, Full Academic Transcripts, and Academic Certificates.
-
Prepare data and reports related to examinations and graduation.
APEL.C SECTION
General Functions
-
Provide a platform for recognising prior learning experiences for UIS students.
-
Manage matters related to awarding credits through the APEL.C method for eligible UIS students.
-
Support the concept of lifelong learning at UIS.
Special Functions
-
Coordinate the implementation of UIS APEL.C based on MQA Guidelines to Good Practices: Accreditation of Prior Experiential Learning for Credit Award (APEL.C), UIS Guidelines for Accreditation of Prior Experiential Learning for Credit Award (APEL.C), and other relevant guidelines, handbooks, circulars, memos.

Provide information regarding the APEL.C credit awarding process to interested eligible students before they proceed with an application.

Coordinate the processes related to the Self-assessment Test for the award of APEL.C credits for UIS students.

Coordinate the development process of challenge test instruments in collaboration with relevant faculties, centres and institutes.

Manage matters related to the implementation of the Self-assessment Test and Student Challenge Test.

Collaborate with faculties, centres, institutes, divisions, or other sections to facilitate the implementation process of APEL.C.
-
Plan and coordinate training related to APEL.C for UIS staff.
-
Manage matters related to stakeholders such as the MQA or other relevant agencies.
