Comply with university policies and regulations related to international students.

Plan and implement initiatives related to international student affairs, including the application for a license to recruit international students, processing of new international student admissions, management of International Student Passes (visas), and oversight of student support throughout their period of study.

Manage and implement student mobility programmes (inbound and outbound), along with related activities, in collaboration with faculties, the Student and Alumni Affairs Division, and other relevant departments.
Centre Functions

Manage the application process for the approval to recruit international students, allowing UIS to officially enroll and oversee the management of international students.

Prepare a strategic planning document.

Conduct consultation sessions with the relevant responsibility centres (PTJs).

Prepare and compile the necessary application documents.
-
Coordinate and manage institutional audit visits conducted by the Ministry of Higher Education (MoHE), the Immigration Department, and the Ministry of Home Affairs (MoHA).

Manage all aspects related to International Student Passes throughout the duration of study, in accordance with the International Student Management Standards for Private Higher Education Institutions (IPTS).

Handle applications for Student Passes (including variations and progressions), Special Passes, renewals of Student Passes and passports, as well as the shortening of Dependent Pass and Student Pass durations.

Manage the application process for Check-Out Memos/Exit Stamps for students who defer, complete, or are terminated from their studies.

Coordinate the arrangements for picking up international students at the airport or terminal.

Manage the post-medical examination procedures and the insurance coverage necessary for the issuance of a Student Pass.

Assist with the activation of Bank Islam accounts.

Manage and update international student records—both physical files and those in the e-IPTS system—throughout the study period, in accordance with the International Student Management Standards for Private Higher Education Institutions (IPTS).

Manage the records of active international students each semester, including approval letters for foreign students studying in Malaysia, copies of passports and Student Passes, personal bonds, class attendance reports, semester and course registrations, examination results, class timetables, academic calendars, and warning letters or disciplinary actions, particularly for students with attendance below 80%.

Manage the records of graduating students, including academic certificates, transcripts, Check-Out Memos/Exit Stamps, and offer letters for the continuation of studies at the same institution.

Prepare reports and statistical data pertaining to international students to facilitate effective monitoring and oversight.

Prepare quarterly reports and documentation on the implementation of the Foreign Nationals Management Lab (MPWA) initiative for submission to the Ministry of Higher Education (MoHE).

Submit reports to EMGS and the Ministry of Home Affairs (MoHA) concerning students who have deferred their studies.

Prepare reports on international students who work part-time and reside off-campus within a 20KM radius, for submission to MoHE.

Provide statistical reports and data on international students to fulfill the requirements of the University, ministries, and other relevant agencies.

Monitor and ensure compliance with the latest policies and regulations governing the recruitment of international students.

Update the EMGS STARS portal with information regarding programme accreditation by the Ministry of Higher Education (MoHE) and the Malaysian Qualifications Agency (MQA), as well as licenses to recruit international students issued by the Ministry of Home Affairs (MoHA) and the Ministry of Education (MoE), through applications submitted to EMGS.

Comply with the English language proficiency requirements for international students as outlined by MoHE and the Common European Framework of Reference for Languages (CEFR).

Monitor and adhere to the most recent policies and guidelines issued by the University, EMGS, the Immigration Department of Malaysia (JIM), MoHA, and MoHE.

Update academic-related information, study programmes, and other procedures/processes associated with the management of international students.

Prepare and update the International Student Management SOP Handbook to serve as a comprehensive reference guide for international students during their study period.

Update relevant information on the official website.

Update MS ISO 9001:2015 procedures and the Standard Operating Procedures (SOPs) for the Internationalisation Section.

Disseminate the latest information and policies regarding international student management issued by the University, the Ministry of Higher Education (MoHE), and the Ministry of Home Affairs (MoHA) through briefings, the UIS website, or any other designated communication channels.

Collaborate with the Marketing Division to identify and implement opportunities for recruiting international students and to develop promotional activities.

Work collaboratively with faculties, the Student and Alumni Affairs Division, and other relevant responsibility centres to manage and implement student and staff mobility programmes, student activities, and issues related to the welfare of international students.
